PRIVACY STATEMENT

Selene Coaching by Laura Irvine

This statement explains how Selene Coaching processes personal data in connection with coaching services.

It applies to clients, prospective clients, referrers, website users (if applicable) and other individuals whose personal data we process in the course of providing coaching services.

Data controller: Laura Irvine, trading as Selene Coaching, registered in Haarlem in the Commercial Register of the Chamber of Commerce in Haarlem, the Netherlands under number 98886045 (hereinafter referred to as “Selene Coaching”)

The personal data that Selene Coaching may collect are:

  • Identity and contact details, such as name, email address, telephone number, postal address and time zone.

  • Engagement information, such as booking details, session dates, payment records and correspondence.

  • Coaching information that you choose to share with us in the course of the engagement. This information may include relevant medical history.

  • Technical information relating to website use and cookies, where a website is operated.

  • No personal data, such as identities or behavioral profiles, will be derived from the use of the website or cookies.

Selene Coaching usually collects personal data directly from you.

Selene Coaching may also receive personal data from a referrer, a sponsor, a professional adviser, a publicly available source or through website analytics tools, where relevant and lawful.

Selene Coaching collects personal data:

  • To assess enquiries and arrange coaching services - legitimate interests and, where applicable, steps taken at your request before entering into a contract.

  • To provide coaching services and administer the engagement - performance of a contract.

  • To issue invoices, receive payment and maintain business records - performance of a contract and legitimate interests.

  • To comply with legal, regulatory, safeguarding or insurance requirements - compliance with a legal obligation and, where relevant, legitimate interests.

  • To improve website functionality and security - legitimate interests and, where required, consent.

Personal data will be treated confidentially and accessed only on a need-to-know basis.

Selene Coaching may share personal data with service providers who support our business, such as IT, cloud storage, payment or professional advisers, where appropriate.

Selene Coaching may also share personal data where required by law, court order, regulatory requirement, insurance requirement, or where disclosure is necessary to reduce a serious risk of harm. During an audit of the International Coach Federation (“ICF”)  the client grants Selene Coaching permission to provide the ICF access to their contact details, so they may be reached to verify the coaching agreement. No personal information or coaching data will be shared with the ICF.

Where a third party processes personal data on our behalf, Selene Coaching will seek to ensure that appropriate contractual and security measures are in place.

If personal data is transferred outside the Netherlands, Selene Coaching will take steps to ensure that the transfer is made in accordance with applicable data protection law.

Selene Coaching will not keep personal data for longer than is reasonably necessary for the purposes set out in this statement.

Unless a longer period is required by law or justified by a legitimate business need, coaching records will usually be retained for two years after the end of the engagement.

Payment and accounting records may be retained for longer (seven years) where required for tax, accounting or legal purposes.

Selene Coaching uses appropriate technical and organisational measures designed to protect personal data against unauthorised access, loss, misuse, alteration or disclosure.

No method of transmission or storage is completely secure. If you believe your data has been compromised, please contact Selene Coaching as soon as possible.

The client has the right to request access to their personal data. The client may also have the right to request rectification, erasure, restriction of processing, portability, or to object to processing in certain circumstances.

Where processing is based on consent, the client may withdraw that consent at any time. This will not affect the lawfulness of processing carried out before withdrawal.

The client may lodge a complaint with the relevant supervisory authority if you believe your personal data have been processed unlawfully.

Selene Coaching may update this statement from time to time. The latest version will apply from the date it is published or otherwise issued to you.
